Terms of Service

These terms govern your use of the DocketBox mobile app and related services, operated by Pavel Klimov, sole trader, trading as DocketBox, Auckland, New Zealand ("DocketBox", "we", "us"). By installing or using the app you agree to them.
1. What you get
DocketBox lets you photograph receipts, extract their details automatically, store them on your device, categorise them, and export them for GST and income-tax record keeping. Some features are free; some may require a paid subscription in future versions.
2. Free recognition limit
Automatic recognition is provided up to a monthly limit per device (currently 10 recognitions per calendar month on the free tier). The limit resets at the start of each month. Manual entry, storage, categorising, export and backup are not limited.
We may change these limits, and we may pause recognition temporarily if the service reaches its operating budget or if we detect abuse. Your existing receipts always remain on your device and remain fully usable, and you can always enter details manually.
3. Your data and your responsibility
Your receipts stay on your device and, if you enable backup, in your own Google Drive. We do not hold copies. This means:
- You are responsible for keeping backups. If you lose your device and have not enabled backup, we cannot recover your data — we never had it.
- You are responsible for retaining records for as long as New Zealand law requires (generally seven years for GST and income-tax records).
- You must not use DocketBox to store material you have no right to store, or to break any law.
4. Accuracy of recognition
Automatic recognition uses AI and is not perfect. It can misread figures, dates or supplier names, particularly on faded, creased or unusual receipts. Always check the extracted values before you rely on them. DocketBox is not liable for errors in figures you did not verify.
5. Acceptable use
You agree not to:
- attempt to circumvent usage limits, device registration or authentication;
- use the recognition service for anything other than reading your own business receipts and similar documents;
- automate, resell or redistribute access to the recognition service;
- interfere with the operation of the service or attempt to gain unauthorised access to it.
We may block a device that breaches these terms. Manual entry and access to your existing local data are not affected by a block.
6. Subscriptions (when available)
Paid subscriptions, when introduced, are sold and billed through Google Play under Google's terms. Prices are shown in the app before purchase. Subscriptions renew automatically unless cancelled through your Google Play account. Refunds are handled under Google Play's refund policy. If a subscription lapses, premium features lock but your data stays intact and remains exportable within the free tier's limits.
7. Availability
We aim to keep the recognition service running, but it is provided on a best-effort basis without a guaranteed level of availability. The app itself continues to work offline for manual entry, viewing and editing.
8. Liability
To the extent permitted by law, DocketBox is provided "as is" and we are not liable for indirect or consequential loss, for lost data where you have not enabled backup, or for tax positions taken on the basis of figures you did not verify. Nothing in these terms limits your rights under the New Zealand Consumer Guarantees Act 1993 where those rights apply.
9. Changes
We may update these terms. Material changes will be notified in the app. Continuing to use DocketBox after a change means you accept the updated terms.
10. Governing law
These terms are governed by the laws of New Zealand, and the New Zealand courts have non-exclusive jurisdiction.
